If you are exhibiting or sponsoring an event run by the Quartz Group of companies, then it is important that you are aware of the Terms and Conditions associated with your contract. You can download a copy of these terms and conditions below.
From 2019, Quartz Business Media exhibitions require all exhibitors to have sufficient insurance for the country where the exhibition is held.
INSURANCE
It is a condition of your contract that Exhibitors arrange adequate insurance to protect themselves and others attending the show. The minimum limit of Public Liability expected is £2 million. To provide you with this level of cover and further additional covers, Quartz Business Media has arranged for exhibitors to be covered under their insurance policy for a participation fee. An “Evidence of Insurance as an Exhibitor” document, summarising the cover provided, will be issued by email when payment of the Insurance Participation Fee is made with your invoice. Please note that payment of the Insurance Participation Fee must be made before the event commences. Standard limits are:

If you believe you already have adequate Public Liability cover in place you will receive email instructions as to how this can be uploaded onto InEvexco Ltd’s portal. This will then be reviewed by InEvexco Ltd, who are a specialist insurance broker and who administer the Organiser’s Exhibitor insurance. This should be uploaded at least 30 days prior to the exhibition opening. If for any reason your Public Liability cover is deemed inadequate by InEvexco Ltd then they will inform you why this is the case and what you need to do to satisfy the Organiser’s condition regarding insurance. If you disagree with InEvexco Ltd’s decision you will be allowed to make use of InEvexco Ltd’s complaints procedure.
Please do not send any insurance documentation to the Organiser. A full specimen policy wording, showing the terms, conditions and exceptions of the cover and the Exhibitors Insurance Product Information Document is available from InEvexco Ltd via their website www.inevexco.co.uk/event-exhibition-organisers. We strongly recommend you read the policy wording as some exclusions apply. This service is provided on a non-advised basis and you should make sure that the minimum limits are sufficient for your needs.
The Organiser accepts no liability in contract, tort, negligence, statutory duty or otherwise (to the maximum extent permitted by applicable law) arising out of the use of, quality, fitness for purpose or access to or provision of the insurance policy by InEvexco Ltd. The Organiser has no responsibility to you for, and hereby disclaims all liability arising from, the acts or omissions of InEvexco Limited or any third parties required to provide the insurance policy and related services hereunder.
The Organiser requires Exhibitors to have adequate Public Liability insurance cover when they exhibit at its events. This is incidental to the services the Organiser provides as the event organiser. InEvexco Ltd are authorised and regulated by the Financial Conduct Authority (FCA) to provide relevant insurance mediation services, under number 579079. The FCA’s register can be accessed through www.fca.org.uk.
By registering to attend an “Event” organised by Quartz Group of Companies, you agree to the following terms and conditions.
1. Registration and Eligibility
1.1 Eligibility: Anyone attending an Event should be a minimum of 18 years of age. Some events have a no under 21’s policy, please check the website of the Event you are visiting for clarification. By registering, you confirm that you meet these requirements.
1.2 Registration Process: Registration must be completed through the official Event website or authorized registration platforms. Only fully completed registrations will be considered valid.
1.3 Non-transferable: Registrations are non-transferable, and each attendee must register individually.
1.4 Correct Information: You are required to provide accurate and up-to-date information during the registration process. Any false or misleading information may result in the cancellation of your registration.
2. Event Access and Admission
2.1 Admission: Admission to the Event is granted upon successful registration and receipt of your confirmation email or registration pass. Your registration may be subject to additional security or identification checks at the venue.
2.2 Right to Refuse Entry: The Event organizers reserve the right to refuse entry to any individual who does not meet the eligibility criteria, provides inaccurate information, or violates any of the Event's policies.
2.3 Event Changes and Cancellations: The organizers reserve the right to alter the Event schedule, speakers, exhibitors, or activities without prior notice. In the event of cancellation, registered attendees will be notified promptly.
3. Fees and Payments
3.1 Registration Fees: Attendance at the Event may require a registration fee. The fees and payment details will be specified at the time of registration.
3.2 Payment Methods: Payments must be made through the approved payment channels at the time of registration. Failure to pay the registration fee may result in the cancellation of your registration.
3.3 Refund Policy: Any refunds or cancellations will be governed by the refund policy specified during the registration process. Please refer to the refund policy on the Event website for more details.
4. Code of Conduct
4.1 Behavior: Attendees are expected to behave in a professional and respectful manner. The Event organizers reserve the right to remove any attendee who is disruptive or violates the Event’s code of conduct.
4.2 Prohibited Items: The Event organizers reserve the right to prohibit certain items from the venue, including but not limited to dangerous items, weapons, and illegal substances.
4.3 Photography and Filming: Attendees may be photographed or filmed during the Event. By attending, you consent to the use of your image in promotional materials, social media posts, or media releases related to the Event.
5. Health and Safety
5.1 Health and Safety Guidelines: All attendees must comply with the health and safety regulations in effect at the time of the Event. This includes any local government regulations, such as mask mandates, social distancing, or health screenings.
5.2 Liability: The Event organizers are not responsible for any personal injury, loss, or damage to property that may occur during the Event. Attendees participate at their own risk.
6. Data Protection and Privacy
6.1 Personal Data: By registering for the Event, you consent to the collection, storage, and processing of your personal data in accordance with the Event’s privacy policy.
6.2 Badge Policy: You will be issued with a bar coded name badge on entry to the event. Exhibitors and other associates may have bar code readers. By allowing your badge to be scanned you are deemed to have consented to passing over your registration details and may be contacted by the exhibitors about their products or services. Allowing your badge to be scanned is akin to handing over a business card.
6.3 Marketing Communications: By registering, you agree to receive marketing communications related to the Event and future events from the Event organizers and their affiliates. You can opt-out of such communications at any time.
7. Force Majeure
7.1 Event Delay or Cancellation: The Event organizers will not be held responsible for delays or cancellations resulting from unforeseen circumstances beyond their control, including but not limited to acts of nature, political unrest, or government restrictions.
